Key Responsibilities
- Provide efficient and confidential administrative support, including complex diary management, preparation of meeting papers, and coordination of invitations and official engagements.
- Prepare and manage documentation including motions, questions (on notice and without notice), and maintain accurate tracking records for approval and action.
- Maintain and update registers relating to interests, allowances, benefits, and gifts in accordance with legislative and policy requirements.
- Draft and review a range of professional communications, including correspondence, briefings, reports, and emails.
- Coordinate and manage incoming queries from stakeholders, ensuring timely referral to appropriate areas and preparation of summary reports for executive review.
- Prepare attendance and activity reports as required.
- Provide advice and guidance to internal and external stakeholders on appropriate protocols and processes.
- Build and maintain strong working relationships with external organisations and key stakeholders, including coordinating meetings and facilitating introductions.
- Provide broader administrative support across Governance and Strategy functions as required.
- Coordinate travel arrangements and bookings while ensuring alignment with budget requirements.
- Maintain accurate corporate records in accordance with governance frameworks, policies, and procedures.
- Support special projects and contribute to continuous improvement of administrative systems, processes, and practices.
- Proven experience in a senior administrative or executive support role, ideally within a government or regulated environment.
- Exceptional organisational skills with the ability to manage competing priorities and deadlines.
- Strong written and verbal communication skills with attention to detail.
- Demonstrated ability to handle sensitive information with discretion and professionalism.
- Experience working with governance frameworks, policies, and legislative requirements is highly desirable.
- Strong stakeholder engagement and relationship management skills.
- Proactive, adaptable, and solutions-focused approach.
- Must have a current police clearance
