An exciting opportunity exists for a highly organised and proactive Administration Officer to provide high-level support within a fast-paced government environment. 

Key Responsibilities
  • Provide efficient and confidential administrative support, including complex diary management, preparation of meeting papers, and coordination of invitations and official engagements.
  • Prepare and manage documentation including motions, questions (on notice and without notice), and maintain accurate tracking records for approval and action.
  • Maintain and update registers relating to interests, allowances, benefits, and gifts in accordance with legislative and policy requirements.
  • Draft and review a range of professional communications, including correspondence, briefings, reports, and emails.
  • Coordinate and manage incoming queries from stakeholders, ensuring timely referral to appropriate areas and preparation of summary reports for executive review.
  • Prepare attendance and activity reports as required.
  • Provide advice and guidance to internal and external stakeholders on appropriate protocols and processes.
  • Build and maintain strong working relationships with external organisations and key stakeholders, including coordinating meetings and facilitating introductions.
  • Provide broader administrative support across Governance and Strategy functions as required.
  • Coordinate travel arrangements and bookings while ensuring alignment with budget requirements.
  • Maintain accurate corporate records in accordance with governance frameworks, policies, and procedures.
  • Support special projects and contribute to continuous improvement of administrative systems, processes, and practices.
About You
  • Proven experience in a senior administrative or executive support role, ideally within a government or regulated environment.
  • Exceptional organisational skills with the ability to manage competing priorities and deadlines.
  • Strong written and verbal communication skills with attention to detail.
  • Demonstrated ability to handle sensitive information with discretion and professionalism.
  • Experience working with governance frameworks, policies, and legislative requirements is highly desirable.
  • Strong stakeholder engagement and relationship management skills.
  • Proactive, adaptable, and solutions-focused approach.
  • Must have a current police clearance
