The role offers a great balance of structured administrative responsibilities and varied project-based work. You will play an important role in managing priority correspondence and supporting day-to-day operations, while also having opportunities to improve processes, contribute to team initiatives and support business improvement projects.
As a Program Support Officer, you will become a trusted support partner to the Stakeholder Management team, helping colleagues navigate processes, solve problems and achieve positive outcomes.
Your responsibilities will include:
- Managing a shared, high-volume inbox and efficiently triaging executive correspondence, enquiries and requests.
- Identifying appropriate actions and ensuring matters are progressed promptly.
- Providing responsive administrative and operational support to keep the team organised and focused.
- Developing, maintaining and improving systems, databases, reporting tools and communication channels.
- Assisting with governance, compliance and record-keeping activities.
- Compiling and coordinating information for reports, dashboards and updates for senior stakeholders.
- Supporting community engagement activities through coordination of materials, stakeholder records and administrative processes.
- Building strong working relationships across the region and becoming a valued point of contact for colleagues seeking assistance.
- Identifying opportunities to improve processes, reduce inefficiencies and strengthen systems and ways of working.
- Supporting improvement projects and other team-wide initiatives as required.
You will ideally demonstrate:
- Experience managing busy, high-volume inboxes and providing accurate, professional communication to a range of stakeholders.
- Strong organisational and time-management skills, with the ability to prioritise competing tasks and meet deadlines.
- Excellent attention to detail and a commitment to producing high-quality work.
- Strong problem-solving skills and the initiative to identify and resolve issues.
